FFL documents and the FFL Uploads page

How FFL documents reach an order, what Trinity checks automatically, and why anything it cannot check waits on the FFL Uploads page for you instead of being thrown away.

A firearm order needs the receiving dealer's FFL on file. Documents reach Trinity in two ways, and the FFL Uploads page (under Shipping & FFL) is where anything that needs a person's eye waits for you.

When a customer or their dealer uploads the FFL

When a customer or their dealer sends the FFL through the upload link, the file (a PDF, JPG or PNG, up to 10 MB) goes straight to FFL Uploads, on the Pending tab, for you to look at.

For each upload you can:

  • Approve & Apply to attach it to the order's dealer. You can add an optional note first.
  • Reject it. You are asked for a message, which is sent to the person who uploaded it, so tell them what you need instead.
  • Dismiss a duplicate, without sending anyone an email. If several duplicates are waiting, Dismiss All Duplicates clears them in one go.

The Approved and Rejected tabs keep a record of what was done.

When you upload the FFL yourself

On an order with no FFL document, press No FFL Doc - Click to Upload in the dealer section and choose the file. Trinity then reads the document automatically to check that:

  • it really is an FFL (or an SOT, which is filed in its own place),
  • the license number on it matches the dealer on the order,
  • it is not your own store's license attached by mistake.

What happens next:

  • It checks out and nothing is on file yet: it is attached to the dealer right away.
  • The dealer already has a document on file: the new one is not allowed to replace it silently. It goes to FFL Uploads for you to approve, with a note of what was found on it.
  • Trinity could not read the file at all (some PDFs cannot be read automatically, for example): the file is kept and sent to FFL Uploads with a note saying it could not be checked. Look at it and approve it if it is the right FFL. It is not thrown away.
  • Trinity read it and it is the wrong document, such as another dealer's license: the upload is refused and the message tells you what was found.

Tips

  • A clear photo or a scan of the whole license reads best.
  • If an approved document turns out to be wrong or expired, delete it from the dealer record. See Deleting an FFL document.
