Give store credit instead of a refund

Updated October 19, 2026 in Orders and fulfillment

If the customer would rather keep the money with you for a later purchase, there are two ways to do it.

Option 1: a gift card

  1. Open Gift Cards and click Create Gift Card. Enter the amount they paid and their email, then click Create Gift Card.
  2. Give the customer the code that appears. The store does not email it for you.
  3. Set the order's status to Cancelled without running a refund.
  4. Add a note on the order saying it was converted to store credit, with the gift card code.

The customer uses the code at checkout. See Gift cards.

Option 2: a one time promo code

  1. Open Promo Codes (left menu, under Products) and click New Code.
  2. Enter a Code, choose Dollars off and enter the amount they paid.
  3. Under who can use it, choose One customer and enter the customer's email, so nobody else can use it.
  4. Set Total uses to 1, then click Save Code.
  5. Send the customer the code. They use it on a new order at checkout, in Have a promo code or gift card?.
  6. On the original order, add a note saying it was replaced by store credit, with the code, then click Mark Complete. A completed order is locked, so automatic fulfillment will never order it again.
